PRINTING PURCHASE ORDERS AS A .PDF (FOR E-MAILING, ETC.)


Let’s say you want to e-mail or fax a Purchase order to a Vendor:

1.) Choose the printer called PO’s – PDF. The software will create a .pdf file called PO.PDF (no, we can’t change the name) on your ftp site.

2.) Log in to your ftp site ftp://lecolo.com, or if you are already logged on, hit F5 to refresh. You’ll see the file PO.PDF with an Adobe icon.

3.) Click on the icon, or drag it to your Desktop and click on it.

4.) The PO will open. At that point, you can do anything Adobe will permit.

This will work at the store, home, or on the road.

Note - Some of the PO forms may not work properly.

The reason is that the forms were originally made for OKIDATA dot matrix printers, which had to be set to 66 lines per inch. With the advent of laser printers, the forms were set to 60 lines per inch. Now with the PDF printing we're back to 66 lines per inch.

The symptom of this is that two page po's print garbage. To fix this, thry the following:

CHANGING THE PURCHASE ORDER FORM

1.) Go to Setup > Purchasing > Forms.

2.) Choose the PO form you wish to use (PO-1 for example). If the form doesn’t come up, hit F9, and you’ll see all the forms in your system.

3.) Notice the length of the form is set to 61. Hit F6 to copy the form. You’ll be prompted “Copy to form ID”. Enter something like 1-PDF (this will ensure that it appears at the top of the choices). At “Any change?”, select “N.”

4.) ESC out of this form.

5.) Now, enter 1-PDF, or whatever name you chose, and make the following changes:

11. Length 66
15. Last line for line Items 59
16. Last line for totals 60

6.) Hit Enter. There is no need to View the layout.
